The recurring chore

A small services business had a weekly ritual: someone exported orders from one system, tidied the spreadsheet by hand, cross-checked it against a second system, and emailed a summary round. It took the best part of a day, every week, and mistakes crept in whenever things were busy.

The fix

There was no need for anything clever. We mapped the steps, agreed the rules the person was applying in their head, and turned them into a small automation that did the export, the tidy-up and the cross-check in one go — then produced the summary ready to send.

The result

The weekly job went from most of a day to a few minutes of review. Over a year that is roughly forty working days handed back to the team, and the errors stopped. The build took an afternoon.

Not every improvement is this tidy — but this is the shape of the wins we look for: dull, repetitive, rules-based work that a computer should have been doing all along.
